3. Payment Processing + Hosting
Our website is hosted by Squarespace, Inc. Squarespace may collect device info, IP addresses, and analytics data. See Squarespace Privacy Policy.
We use Stripe, Inc. as our payment processor. Card details are sent directly to Stripe. We only receive last 4 digits, transaction ID, and payment status. See Stripe Privacy Policy.
When you use Apple Pay, your actual card numbers are not shared with us. Apple creates a device-specific number and unique transaction code. We may receive your name, email, and billing address if you approve it. See Apple’s Privacy Policy.
4. How We Share Your Data
We do not sell your personal information. We share it only with:
Stripe - to process card payments
Apple - when you choose Apple Pay
Squarespace - website hosting and analytics
Legal - if required by law or to protect our rights
5. Data Retention
Emails and client records kept as long as needed for services, tax, and legal compliance. Standard retention is 7 years for billing records. Full card details are never stored by us.

We use SSL encryption and Stripe’s PCI-DSS compliant checkout. However, no internet transmission is 100% secure.
8. Children’s Privacy
Our services are not directed to anyone under 18.
9. HIPAA Disclaimer
Busy Bee Billing provides billing and coding consultation services. We are not a covered entity or healthcare provider. If you share Protected Health Information (PHI), you are responsible for compliance. We will sign a Business Associate Agreement (BAA) upon request for engagements involving PHI.

2. Refund Policy - Ready for Squarespace
Refund Policy – Busy Bee Billing
Effective Date: May 10, 2026
1. Consultations & Scheduled Calls
Cancellations: Free cancellation up to 24 hours before your scheduled time. Email admin@busybeebilling.net to cancel/reschedule.
<24 hour cancellations or no-shows: Charged 100% of the consultation fee. We reserve that time specifically for you.
Late arrivals: More than 15 minutes late may result in shortened or forfeited session without refund.
2. Billing & Coding Services
All service fees are non-refundable once work has begun.
Before work starts: Cancel before we begin claim reviews, audits, or submissions for a 100% refund minus a $50 admin fee.
After work starts: No refunds. This includes code reviews, claim submissions, appeals, credentialing, or audits already initiated.
Disputes: If work was not performed as described, email admin@busybeebilling.net within 7 days of delivery. We’ll review and offer correction or partial credit at our discretion.
3. Retainer Clients
Monthly retainers are billed in advance and non-refundable. Cancel before your next billing date to avoid future charges. No prorated refunds.
4. No Guarantee of Reimbursement
Busy Bee Billing provides billing and coding consulting based on current guidelines. We do not guaranteeclaim approval, specific reimbursement amounts, or payer decisions. All payers make final determinations.
5. Refund Processing
Approved refunds are issued to your original payment method within 5-10 business days:
Credit/Debit via Stripe: Refunded to same card
Apple Pay: Refunded to the card linked to your Apple Pay
6. Technical Issues
If a call fails due to issues on our end, we’ll reschedule at no charge or refund. If the issue is on your end, the no-show policy applies.
7. Chargebacks
Please contact admin@busybeebilling.net before filing a dispute with Stripe or Apple Pay. We document all time and services rendered.

1. Agreement to Terms
By accessing busybeebilling.net or using our billing and coding consultation services, you agree to be bound by these Terms of Service. If you do not agree, do not use our services.
2. Services Provided
Busy Bee Billing provides medical billing and coding consultation, claim review, audit support, credentialing guidance, and educational services. We are a consulting firm, not a healthcare provider, law firm, or accounting firm.
3. Not Medical, Legal, or Tax Advice
All information, recommendations, and guidance we provide are for educational and consulting purposes only. We do not provide medical, legal, or tax advice. You should consult licensed professionals in those fields for specific advice.
No guarantee of reimbursement: Payers make final determinations on claims. We do not guarantee claim approval, payment, or specific reimbursement amounts. Coding guidelines and payer policies change frequently.
4. Client Responsibilities
You agree to:
Provide accurate, complete information for services
Maintain compliance with all applicable laws, including HIPAA, CMS guidelines, and payer contracts
Make final decisions on claim submission and billing practices for your practice
Pay all fees according to our Refund Policy
5. HIPAA & Protected Health Information (PHI)
Busy Bee Billing is not a covered entity under HIPAA. If you engage us for services involving PHI:
You are responsible for obtaining patient authorizations as required
We will sign a Business Associate Agreement (BAA) upon request before accessing PHI
Do not send PHI via unsecured email. Use our secure upload portal or encrypted method we provide
We implement reasonable safeguards but you acknowledge no data transmission is 100% secure
6. Payment & Fees
Fees are listed on our site or in your service agreement. Payment is due at time of booking for consultations, or per your retainer terms. We use Stripe and Apple Pay. See our Refund Policy at /refund-policy for cancellation terms.
7. Intellectual Property
All content on busybeebilling.net, including guides, templates, course materials, and code recommendations, are owned by Busy Bee Billing. You may not reproduce, distribute, or resell our materials without written permission. You receive a limited license to use materials for your internal business only.
8. Limitation of Liability
To the fullest extent permitted by law, Busy Bee Billing shall not be liable for any indirect, incidental, consequential, or punitive damages, including but not limited to: denied claims, audits, payer takebacks, fines, or lost revenue. Our total liability for any claim is limited to the amount you paid us in the 6 months prior to the claim.
You agree to indemnify and hold us harmless from claims arising from your use of our advice, your billing practices, or your violation of these Terms.
9. Confidentiality
We keep client information confidential and do not share practice details, payer contracts, or financial data except as needed to perform services or required by law. This does not apply to information already public.
10. Termination
We may suspend or terminate services if you violate these Terms, fail to pay, or engage in fraudulent billing. You may terminate per your service agreement. Sections 3, 5, 7, 8, and 9 survive termination.
11. Governing Law
These Terms are governed by the laws of the Commonwealth of Pennsylvania. Any disputes will be resolved in Philadelphia County, PA.
12. Changes to Terms
We may update these Terms. The “Effective Date” will change. Continued use after updates means acceptance.
